I am the Co-Owner and Co-Con Chair of (Re)Generation Who. I am letting you all behind the scenes of our planning processes. If you aren’t familiar with me already, you can find out more about me on my blog or follow me on Twitter.
We made lemonade out of lemons today. After our 4th of July plans were canceled we decided that the best thing to do was to get some work done! We went down to the Hunt Valley Inn in Cockeysville, MD to do some initial surveying.
We are kind of obsessive about planning. Before the con actually happens there will be a lot of measuring, walkthroughs, traffic flow studies, and more. We are working on an architectural mock up of many of the vending table spaces so that we can be sure that all of the tables are placed in good locations. I believe that an important part of event planning is to not rely 100% on what has been done before. I like to really understand how people will interact in the space. Often I can find cool things to optimize that don’t cost a lot but can make a huge difference in the attendee experience. Those of you who attend my first event, Intervention, will be familiar with my whole deal already.
Here is my husband (the other Co-Owner and Co-con Chair of (Re)Generation Who), Harknell. He is measuring out what will eventually become table spaces in the Artist’s Alley:
We have a bag of ideas which will become programming. There are at least 2 big parties that will happen over the weekend. This could be the location of one of them. It would allow for us to set up light snacks and tea:
We also have access to a vintage-inspired 1950s Diner. I am thinking we can use this to great effect. Someone told me there’s a 1950s car in there. Since today was a holiday we will be addressing this space at a later date when more of the hotel staff is around:
This is half of what will become the main vendor’s room. We did a lot of measuring in here. I can’t wait to get the architectural mockup so that we can really think through the table layout:
One cool feature is that it looks like we can provide some space for cosplayers to change. Since cosplay is going to be HUGE at this event, this is a good find:
All in all, we had a great day of surveying. I have been to events in this space before so the venue is not new to us. The idea is to drill down on the little details now.
We got home just in time to see the fireflies!
